How to Track Field Sales Team Visits (Without Chasing Anyone)
Most field sales teams report visits by phone call, WhatsApp message or a sheet filled in at night. It works until the team grows, and then managers spend their day collecting updates instead of coaching.
What to record after every visit
Keep it to five things, so it takes under a minute: who you met, why you went, what was agreed, the next step and the date for it. If a visit has no next step, it is usually not finished.
Make logging the easiest part of the day
People skip tools that feel like extra work. Log right after the meeting, from the phone, with as few fields as possible. A required next follow-up date is more valuable than ten optional notes.
Plan visits from the follow-up list
The best route plan is the list of follow-ups due. Start each week by sorting leads by next-action date and book visits around the ones that are warm.
What managers should look at
- Visits logged per person per week
- Visits that ended with a quotation request
- Follow-ups that are overdue
- Leads with no activity for two weeks
These four views replace most status calls. Review them in a short weekly meeting and ask about the exceptions only.
Keep one record per customer
When a visit, a call and a quotation all attach to the same customer record, anyone can pick up the account if a salesperson is away. That continuity is the real benefit of tracking, more than the reporting itself.
