How to Control Sales Team Expenses Without Slowing Them Down
Travel, meals and customer visits are a real cost of selling. The aim is not to cut them, but to make sure they are recorded, approved and linked to results.
Write a one-page policy
List what is claimable, what needs prior approval and any daily limits. People follow clear rules more easily than unwritten ones.
Submit expenses the same day
Receipts and details are easy to forget. Asking for same-day or same-week submission avoids month-end piles that are hard to check.
Use a two-step approval
The reporting manager confirms the expense was for work. Finance checks it against policy and processes payment. Each person does the part they know best.
Link spend to activity
An expense next to the visits and quotes it supported is easier to judge. If one person spends heavily but logs few visits, that is worth a conversation.
